Start with the recipients
Decide whether everyone should receive the same book or whether you want to choose different titles for individuals or groups. One shared title can connect the gift to an event or an idea. A mixed selection can reflect different interests.
Corporate book gifts need not be business books. Fiction, biography, history and other non-fiction may suit the people you want to thank. If you have not chosen the titles, describe your recipients, the occasion and your approximate quantities rather than forcing the brief into a particular genre.
Choose the edition as well as the title
Two books with the same title can differ in binding, cover, publisher, language or edition. If the appearance matters to the gift, send the ISBN and any essential format details. A cover image can help explain what you mean, but include the ISBN where possible.
Mark each choice as either an exact requirement or a preference. For example, you might need one particular hardcover, or be happy to consider another edition of the same text. This gives the sourcing team a useful way to discuss alternatives if the preferred edition cannot be supplied in the quantity required.
Availability and sourcing arrangements must be checked for the specific edition. A title appearing in a catalogue does not establish that every edition is available in bulk for your delivery date. Imported editions may involve additional time and cost, which need to be considered before you commit.
Organise quantities by title
For a shared gift, list the total number of copies of the chosen edition. For a mixed selection, put each title, ISBN and quantity on its own line. Include repeated titles in the quantity rather than leaving the supplier to infer how many copies you need.
You can search the Books Hub catalogue and build a list, or include the information in your enquiry. If your quantities are still provisional, say so and identify when the final numbers will be known.
Use one line for each title, with these details:
- Title
- ISBN or edition
- Copies
- Exact requirement or alternative acceptable
Work back from the date the books are needed
Separate the occasion date from the date the books must reach the person preparing them. If a fulfilment partner will put the books into gift boxes, that partner may need them before your own dispatch date.
Provide the required arrival date, delivery postcode and any receiving restrictions. If the address is a hotel, office or venue, explain who can receive the delivery and whether a narrow delivery window is essential. Ask for feasibility to be checked; an enquiry or an indicative lead time is not a guarantee of a specific arrival slot.
If partial quantities, another edition or a later delivery could still be useful, include those options in your brief. This lets the team discuss a practical alternative rather than assume the original requirement can be met.
Keep book supply and gift preparation clear
Tell us where the bulk books need to go and who will handle the next stage. For example, your own team or a fulfilment partner may be arranging boxes, wrapping, inserts or onward distribution.
Shulph supplies published books. Gift packaging and custom printing are not included in this service. Delivery arrangements must be confirmed in the quotation; do not assume that recipient-by-recipient dispatch or a particular receiving window is available.
Prepare the purchasing details
Include your organisation, contact details and any purchase order, invoice or internal reference requirements. If you have an approximate budget, explain whether it is for the books alone or needs to cover delivery too.
Shulph reviews editions, quantities, availability and delivery requirements before providing a formal quotation. Review the proposed supply and delivery terms through your organisation’s purchasing process before committing. Sending an enquiry does not place an order.
Your book gift enquiry checklist
- Who the books are for and the purpose of the gift.
- Titles, ISBNs, binding or edition details, where known.
- Copies per title and any provisional quantities.
- Whether alternatives or partial quantities are acceptable.
- Required arrival date and the occasion or packing deadline.
- Delivery postcode, receiving contact and any restrictions.
- Who will handle packaging and onward distribution.
- Purchase order, invoicing and budget requirements.
If you only know part of this information, start with what you have. You do not need a completed catalogue list to discuss your requirement.
